Procedure for joining Club4 Kids

A registration pack is sent to all new families. The forms must be completed and returned before childcare can commence.

Bookings may be made by completing a booking form and returning this to the office along with payment. Emergency bookings may be made by telephone to the office. Priority will be given to members, siblings and those who make a regular commitment to the club.

Cancellations for holiday bookings carry a 50% cancellation fee. If you have a regular holiday booking (where Club 4 Kids book you in automatically for certain or all days each holiday) you will be required to give 14 days notice, in writing, of any days you wish to cancel & no further charge will be made. Term service require 1 weeks notice in order for refunds to be made on fees paid. Parents should notify the club and transport if a child is absent on any day booked.

Payment is due one week in advance. Payment can be made by cheque (payable to Club 4 Kids) and sent along with a booking form. If payment is made in cash at the club, please ensure that your payment has been recorded on a payment sheet and signed by both yourself and the Co-ordinator. The club cannot take responsibility for lost payments. Receipts are available, on request.

Medication can only be administered with written authority from the parent/carer. Medication must be handed to the Co-ordinator on arrival & must be in it's original container, labeled with the child's name, dosage and times required.

Illness - If your child is ill whilst at the club, we will ensure that you are contacted immediately. Collection of children from the club will only be allowed by a named person/s on the registration form. For Health & Safety reasons, parents/carers are required to sign their child/ren in and out of the club. The club operates a signature sample form, which can be used to check the authenticity of the person collecting, in case of uncertainty.

Late collection of children, unless notified, will result in the club taking care of the child for half an hour after closure whilst continuing to contact all numbers given. If unsuccessful, the club is obliged to contact Social Services who will take responsibility of the child/ren and continue to try to contact parents until successful. The club is unable to care for a child who has not been collected within half an hour, due to legal requirements. Please note - the club is not insured for childcare purposes after advertised closing hours. The club reserves the right to withdraw the service if consistent late collection occurs.

The club has policies on Equal Opportunities, Health & Safety, Child Protection, Food Hygiene, Responding Positively to Children's Behaviour, Children's Rights, Personal Belongings, Admissions, Complaints procedures for parents/carers, etc. Policies are kept at the club.

Your child will need to bring:

  • Packed Lunch - if they are attending A.M. Part Day or All Day sessions please ensure that your child has a well balanced diet and drink and that the contents are non perishable as the club does not have cold storage facilities.
  • Sun Hat and Sunscreen
  • Painting/Craft shirt for messy activities
  • Towel and swimming costume for paddling, etc.
  • All should be clearly labeled with your child's name

Please do not bring valuable items or equipment (such as rollerblade, skates, Gameboys, etc.) to the club.

Disabled Children and Children with Specific Needs are welcome at the club. The club actively encourages social inclusion. The club employs fully qualified special needs Playworkers for children requiring more specific playcare.

Club 4 Kids is the only local 'out of school' childcare service which has been accredited with Kids' Clubs Network "Aiming High" Quality Assurance at Level 2. Parents and carers can now have the peace of mind that the childcare they have chosen is of the highest quality. The club requires that parents make their child/ren aware of the club rules.

Club Rules

We Do - Respect each other, help each other, listen, share, have a good time & look out for each other, inside and outside the club.

We Don't - Climb on equipment, damage equipment, shout, swear or bully, fight with each other, go into areas that are "out of bounds", go outside the hall without asking an adult.

Club 4 Kids reserves the right to withdraw the service if a child's behaviour is consistently unacceptable.

The club encourages parents to view their opinions and suggestions. On-going evaluation ensures effective development of the service & evaluation forms are sent out periodically.

The club also reserves the right to withdraw the service if parents do not follow cancellation procedures or if payments are consistently late.

The club is run by a Board of Trustees. The Board of Trustees consists of parents who use the club. All parents/carers are welcome to join.
